Overview

Radio Free Asia Facilities Support Department is seeking a highly motivated team player to join our Facilities Support Team as a temporary.  The Facility Support Assistant will perform various duties to support the daily operations of Radio Free Asia. The key duties of this position will include providing secondary support to office services, facilities, and operations. This position reports to Facilities Support Manager. This is a 9-month temporary position, expected to work 40 hours/week.

Responsibilities

  • Maintain inventory and stock levels of all Facilities Support related materials
  • Serve backup role and responsibilities of Facilities Support Specialist, Facilities Support Assistant and Receptionist/Data Entry clerk to aide in facilities day-to-day operations
  • Assist and support with kitchen areas on a daily basis. Including stocking of coffee, tea, maintaining an accurate level of all kitchen supplies, and performing quality checks on kitchen appliances. Perform monthly or quarterly cleaning maintenance of all kitchen appliances
  • Monitors and responds to Facilities Support service requests in OTRS. Processes assigned tickets to determine the problem, gathers pertinent information, and resolves issues in a timely manner
  • Light maintenance and repair duties such as painting, carpentry, replace door locks, plumbing, picture/whiteboard installation
  • Move and assemble office furniture
  • Upkeep of  facility daily and weekly quality checks on various to ensure workplace safety and health
  • Daily reports identifying potential issues and escalating to Facilities Support Manager
  • Primary role with handling keys and workstation management 
  • Maintain organization, cleanliness and inventory of items in common areas, storage areas and recycling
  • Deliver incoming shipments to intended personnel while  accurately following receiving procedures
  • Must be able to perform all duties and responsibilities assigned to the Receptionist/Data Entry Specialist and performs such duties as needed such as when the Receptionist/Data Entry Specialist is on leave, break, or otherwise unavailable
  •  Assist and support with maintaining inventory of office supplies,  kitchen/coffee supplies, cleaning refrigerators, stocking essential supplies
  • Assist and support Facilities Support personnel with office, workstation moves, and new hire set up as well as general administrative support to the Facilities Support Department
  • Occasionally pick- up USPS mail daily and sort to the appropriate department.

  • Occasionally contacts outside vendors to schedule reported service repairs
  • Occasionally provide escort assistance for outside contractors and building management.
  • Handle and assist with conference rooms including setup requests and maintaining essential supplies
  • Provide general administrative support to the Facilities Support Department
  • Perform a variety of tasks as other duties are assigned

Qualifications

  • High School Diploma and 2 years of previous experience working in general office environment
  • Knowledge of Google Workspace, Microsoft Word, Excel and Outlook.
  • Excellent phone etiquette
  • Previous customer service experience is a plus
  • Ability to work with hand tools
  • Ability to lift 50 lbs without assistance
  • Knowledge of shipping through USPS, FedEx, and UPS
  • Strong initiative and a team player
  • Professional and positive attitude
  • Problem-solving skills
  • Solid written and verbal communication skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Able to work independently and with minimal supervision

Salary: $25-$28/Hour. Expected to work 40 Hours/Week.
